Why two quotes for the "same thing" can be $2,000 apart

Managed IT pricing confuses business owners because the number on the quote doesn't tell you what's actually inside it. A $60/workstation quote and a $150/workstation quote might cover completely different scopes — one is help-desk-only, the other includes full security monitoring, patch management, and backup. Comparing the number without the scope is comparing nothing.

What's normally in a flat monthly rate

At minimum, expect proactive monitoring of your network and endpoints, a defined patch management schedule, help-desk support with a real response-time commitment, and endpoint security — not just antivirus. Anything less than that is closer to break-fix support with a subscription wrapper.

What's usually billed separately (and should be)

New hardware, major projects like office moves or network overhauls, and after-hours emergency work typically fall outside the flat rate — and that's reasonable, as long as it's disclosed up front rather than discovered on an invoice. A model where help-desk tickets are billed per-ticket rather than bundled into a flat fee can also work in your favor if your team rarely needs support — you're not paying for capacity you don't use.

The questions that actually separate providers

Ask what's covered per workstation, what response-time commitment is in writing, whether backup and disaster recovery is included or extra, and what happens if you need emergency support at 9pm on a Saturday. A provider who can answer all four without hedging has a real operation behind the number.
